Privacy notice

Personal information collected through this platform is used solely for the accreditation, security and operation of Pre-COP31, and is handled in accordance with the Government of Fiji information management policy. Your name, organisation and country appear on your conference badge. Contact details are visible only to authorised Ministry staff. You may ask to be listed in, or removed from, the participant directory at any time from your portal.

What we collect, and why

  • Name, organisation and country — printed on your badge and used to verify you at entrances.
  • Email and phone — to write to you about your registration and to reach you if a session changes. Never printed on a badge, never shown publicly.
  • Accessibility and dietary requirements — passed only to the venue teams who have to act on them.
  • Your photograph, if you provide one — shown on your badge and to the officer scanning it, so a badge cannot be used by somebody else.
  • Check-in records — where and when your badge was scanned, kept for conference security and attendance reporting.

Your QR code

The QR code on your badge contains no personal information at all — it is an opaque reference. Anyone who photographs your badge learns nothing from it, and only an authorised Ministry scanner can resolve it to your record.

Who can see your information

Access is limited by role. An officer scanning at a door sees your name, photograph, organisation, country and whether you may enter — not your contact details. Contact details are visible to accreditation staff. Protocol notes are visible only to protocol officers. Access is logged.

The participant directory

The directory is opt-in. If you have not asked to be listed, you do not appear in it at all. If you have, it shows your name, organisation, role, country and areas of interest, and never your email or phone. You can change this at any time from your portal.

How long we keep it

Conference records are retained for 24 months after the event for reporting and audit, and are then reviewed for deletion.
